How to Build an AI Chief of Staff
Learn how to turn ChatGPT, Claude or Gemini into a personalized productivity partner that interviews you to uncover your working style and automates your daily planning.

For years, I started my mornings the same way: Staring at a to-do list that felt more like a wish list, trying to figure out where to start, and feeling behind before I even opened my email.
I realized that the act of planning itself was draining the energy I needed to actually do the work.
I was essentially micromanaging myself, and I was a terrible boss. I didn't need another to-do list app or a rigid time-blocking calendar. I needed a partner—someone (or something) who understood how I work, when I have the most energy, and how to get me back on track when things went sideways.
So, I built one using ChatGPT.
I call it the Peak Performance Blueprint.

___
It’s a system that turns a generic AI into a custom productivity engine tailored specifically to your psychology.
Here is how it works, and how you can build one for yourself.
The Problem with Standard Prompts
Most people use ChatGPT like a search engine. They ask a question, get an answer, and move on. But for productivity, this doesn't work because the AI lacks context. It doesn't know that you write best in the morning, or that administrative tasks drain your energy in the afternoon.
To fix this, I flipped the script. I stopped writing prompts to the AI and created a system where the AI interviews me.
The 3-Step Blueprint
The Peak Performance Blueprint gives you step-by-step instructions for building a Custom GPT optimized with your own "Personal Operating Instructions".
Here's how it works:
1. The Reverse Interview
First, you run a specific prompt that commands ChatGPT to interview you. It asks 10 targeted questions designed to uncover your working style.
It asks things like:
"What part of your workflow feels slow or messy right now?"
"When during the day do you work best?"
"What habits or patterns hurt your focus or momentum?"
Once you answer, the AI synthesizes this data into a concise summary of your operating instructions.
2. The "Deep vs. Shallow" Framework
One of the core rules in the blueprint is how the AI classifies your work. It is trained to split your tasks into three specific buckets:
Deep Work: Strategy, writing, and complex problem solving.
Shallow Work: Email, admin, and logistics.
Personal: Breaks, movement, and learning.
This ensures that when the AI helps you plan your day, it isn't just filling time slots; it is allocating your best energy to your highest value tasks.
3. The Custom GPT Setup
Finally, you take these instructions and embed them into a Custom GPT. You can even upload knowledge documents—like your weekly workflow or daily templates—so the AI has full context on your role.
The result?
You get a "Peak Performer" copilot. You can click a button each morning to generate an actionable, visual, and easy-to-follow plan. It even includes prompts for when your momentum dips or you get interrupted.
Why This Matters for Leaders
If you work in operations, sales, or lead a team, decision fatigue is your biggest enemy. This system automates the discipline required to stay focused. It removes the manual friction of planning so you can move with intention.
I’ve used this to reclaim hours of my week, and I want to help you do the same.
